How do I mark an invoice as paid?

Tabs offers multiple ways to mark invoices as paid, depending on the payment method used. This article explains how payments are reflected in Tabs and how to manually mark invoices as paid when necessary.

Automatic Payment Reflection

For payments made via Stripe (Credit Card or ACH Debit), invoices are automatically marked as PAID once the payment clears.

Manual Payment Marking

For payments made via other methods (ACH Credit, Wire Transfer, or Check), you need to manually mark the invoice as paid. Here's how:

Multiple Payments: You can apply multiple payments to the same invoice if needed. It's best practice to apply payments as they come in rather than waiting for all payments to arrive. This keeps invoice balances accurate and ensures dunning reminders reference the correct remaining balance instead of the full invoice amount.

Option 1: Mark as Paid in Tabs

  1. Navigate to the invoice in Tabs.

  2. Click the "Record payment manually" button.

  3. Select the appropriate payment method

  4. Complete the payment recording process.

The invoice will be immediately marked as PAID and the payment will push to your General Ledger (GL).

Option 2: Mark as Paid in Your GL

  1. Record the payment in your GL (e.g., QuickBooks Online or NetSuite).

  2. Wait for the next day's automatic sync, or manually sync by clicking the "Sync my GL" button on the Tabs Overview Page.

The invoice will be marked as PAID in Tabs after the sync is complete.

Payment Methods in Tabs

Tabs currently supports up to four payment methods on invoices:

  • Credit Card (via Stripe)

  • ACH Debit (via Stripe)

  • ACH Credit (customer-initiated "push" payments made outside of Tabs)

  • Check

The visibility of payment methods on your invoices depends on which ones are enabled in your Payment Methods settings.
